A Johannesburg agency kept losing the first two weeks of every retainer to scattered intake emails. We built them a portal that turns a signed brief into a filled workspace.

The task

New clients arrived through three channels: email threads, a shared drive and a phone call. Brand assets, sign-off contacts and invoice details landed in different places, and the studio rebuilt the same kickoff sheet every time. They wanted one intake route that a two-person team could run without a project manager.

How we approached it

We mapped the first ten days of a typical retainer, then cut the steps that only existed because nobody owned them. The portal keeps a single intake form, a shared asset folder and a status strip that shows what is still missing. Editable template sheets handle the welcome pack and the kickoff agenda, so the studio edits wording instead of rebuilding layout.

What we built

  • One intake form with named fields for brand assets, sign-off contacts and billing details.
  • A status strip that flags missing items before the kickoff call, not during it.
  • Editable welcome and kickoff sheets built on the studio's existing grid and swatch library.
  • A short handover note for new team members, written in plain language.

Where it landed
